Operating Cadence: CEO’s Micro-Strategy for Thriving

Running an enterprise often feels like steering a ship through stormy seas. As the CEO, you’re constantly faced with urgent decisions and immediate demands. But without a structured operating cadence, this reactive approach can create chaos and confusion, undermining your company’s potential.

You walk into the office with a list of priorities, but by mid-morning, urgent requests and sudden shifts have completely derailed your plans. Sound familiar? This lack of a structured operating cadence is more common than you might think, and it brings with it a host of challenges.

Recognizing the Symptoms

First, let’s talk about the symptoms.

If you find yourself making ad hoc requests regularly, you’re not alone.

Many CEOs prioritize based on what feels most urgent at the moment, which means team leaders are constantly on their toes, trying to keep up. This environment creates a false sense of prioritization, where what’s loudest gets the most attention, not necessarily what’s most important.

This lack of structure can lead to KPIs being overlooked or outright overruled. Key resources are perpetually in high demand, getting shuffled from project to project without a clear plan. At the leadership level, there’s often a lack of coherence, with different teams pulling in different directions.

Understanding the Root Causes

Why does this happen?

One major reason is the absence of a structured cadence and calendar.

Without these, there’s no framework to guide your efforts, leading to a reactive rather than proactive approach. In many cases, CEOs may simply lack experience with maintaining a structured cadence. It’s also possible that the leadership team feels unable to push back against immediate demands, either due to a lack of confidence or fear of repercussions.

The Impact on Your Organization

The impact of this unstructured approach can be profound. Managers find themselves constantly redirected, struggling to establish a stable working environment. This chaos makes it difficult for them to develop essential skills in prioritization and resource allocation.

Over time, they might even become apathetic, feeling that their efforts to establish priorities are pointless. Ultimately, the company ends up being run based on the CEO’s immediate sense of urgency, rather than strategic goals.

Identifying a Solution

So, what’s the solution?

It starts with establishing an operating calendar.

This isn’t just about scheduling meetings; it’s about creating a rhythm for your organization.
Setting up regular cycles and checkpoints provides a framework that helps everyone stay aligned with strategic priorities.

Next, it’s crucial to allocate attention and resources proportionately. This means ensuring that you’re not just focusing on what’s urgent, but also on what’s important in the long run.

Encourage comprehensive thinking within your team, fostering a holistic approach to problem-solving and decision-making.
Meetings should be driven by clear agendas and focused on KPIs. This keeps everyone on track and ensures that discussions are productive and aligned with your goals.

Weekly cycles can provide regular touchpoints for adjustments, helping you stay agile without losing sight of your strategic direction. Assigning a meeting owner for each session ensures accountability and structure.

Structuring your calendar

An example calendar for a CEO could look like this:

  • Monday: Quick leadership updates from business unit heads, functional and operational leaders
  • Tuesday: Deep dive: commercial and financial aspects of your business
  • Wednesday – Deep dive: operational and technology aspects
  • Thursday – Deep dive: talent and leadership elements
  • Friday – strategy and planning

Bringing in a structure like the above will align your leadership teams and help them prioritize and structure their own operations and decision making.

Needless to say, as a CEO, your calendar will always be very dynamic. You would still need to attend out-of-turn or urgent meetings. A structured calendar will take you a long way to avoid chaos and help you and your teams to run your organization more effectively.

A structured operating cadence is essential for CEOs smooth functioning and long-term success. While it’s important to remain flexible and responsive, having a clear calendar and structured approach helps ensure that priorities are aligned with strategic goals.

You as the CEO, can create a more coherent and efficient organization, avoiding the pitfalls of constant disruption and misaligned priorities through a structured operating calendar.

Running an enterprise is no small feat, but with the right operating cadence, you can steer your ship through even the stormiest seas, ensuring a smoother, more successful journey.
